Village Hall Terms and Conditions of Hire

Effective March 2026

 

1. Booking and Agreement

By confirming a booking, the Hirer agrees to comply with these Terms and Conditions. The person making the booking is responsible for ensuring all attendees comply with them.

 

2. Supervision and Responsibility

The Hirer is responsible for the supervision of the premises, its fabric and contents, and the behaviour of all persons using the hall during the hire period.

 

3. Condition of the Hall

The Hall must be left in substantially the same condition as it was found. Floors should be swept if necessary, surfaces wiped, rubbish removed, and furniture returned to its original position.

 

4. Security

Before leaving, the Hirer must ensure all lights are switched off, appliances turned off, heaters turned off, windows closed, and all doors and exits secured and locked.

 

5. Fire Safety and Emergencies

The Hirer is responsible for ensuring that all attendees are aware of fire exits and evacuation procedures. In the event of a fire or emergency, the Hirer must ensure everyone leaves the building safely and call emergency services if required. The Village Hall Committee must be informed as soon as reasonably possible following any incident.

 

6. Damage

The Hirer accepts responsibility for any damage to the hall, its contents, or surrounding property occurring during the hire period. The Committee reserves the right to recover the cost of repair or replacement.

 

7. Noise and Conduct

Noise must be kept to a reasonable level, particularly when leaving the premises. The Hirer must ensure good order and considerate behaviour at all times.

 

8. Children’s Parties and Events

Where the hire involves children, appropriate adult supervision must be provided at all times. The Hirer remains responsible for setup and safe use of any equipment, including the bouncy castle if hired.

The Bouncy Castle waiver must be accepted before use. 

 

9. Insurance and Licences

The Hirer is responsible for obtaining any necessary licences (e.g., alcohol, entertainment) where applicable.

 

10. Refusal and Cancellation

The Committee reserves the right to refuse or cancel a booking in exceptional circumstances, including safety concerns or breach of these Terms and Conditions.
